How to Import New People Records

Imports

To import a list of new people records into Fireside, your Excel file must follow a very specific format for processing. You can download this Basic Import Template for starters.

1. The Excel file must be saved as a .csv To save your file as a .csv, navigate to File > Save As > CSV UTF-8 (Comma delimited)

 

2. Each column in your Excel sheet needs to be able to be mapped to an existing data field in Fireside. There are standard data fields in every emanager - first name, last name, phone number, home address (street 1, street 2, city, state, zip) and email.

 

3. Formatting Rules

  • First and last names need to be in separate columns
  • Phone number must be 10 digits (no extra characters or area codes). Extensions cannot be processed.
  • -Zip codes can only be 5 digits. (Zip+4s are not necessary and can be deleted. They will be entered in automatically during the address validation process.)

*Please Note: If your sheet contains over 1,000 emails, Fireside must first send it to the House for data scrubbing. This is House policy and ensures that you’re not importing invalid emails into your system. Once your Excel sheet has been reformatted, please feel free to send it to help@fireside21.com and we will submit it to the House for scrubbing on your behalf. The turn time for House processing can be up to 3 business days depending on their volume.

Once your file has been reformatted and/or scrubbed, it can then be processed into Fireside.

1. Hover over the + icon and select ‘Import People’

2. Select the blue + icon in the top right

From the Import People screen:

Step 1

  1. Select a File
    • Upload your .csv
    • ‘Data Source’ will be set to External Survey
  2. File Structure
    • ‘Delimiter’ will be set to Comma (,)
    • ‘Header Information’ will be set to Yes
  3. Affiliations
    • Affiliation tags can be applied to all constituent profiles in an import. Affiliation tags can be used to build audiences, which can then be used for outreach. This step is optional and is not necessary for processing the file. Please note: You will only be able to select existing affiliation tags in Step 1. New affiliation tags can only be created by Account Owners in the office.

Step 2

  1. Here you will need to match the headers from Excel to an existing data field in Fireside. For updating constituent contact information, the file should be mapped to the following
  • First name > Text FirstName

  • Last name > Text LastName

  • Phone number > Phone HomePhone

  • Street 1 > Address HomeAddress – Street 1

  • City > Address HomeAddress – City

  • State > Address HomeAddress – State

  • Zip > Address HomeAddress – Zip

  • Email > Email – Email

Step 3

When Fireside finds a match between a record in your data file and a person already in your account, we will only add information from the file to this person if the corresponding field for that person is currently empty. If you would like us to overwrite this existing information in a person's record, please check the "Update" box for the corresponding row below.


Select ‘Finish’ in the top right.

You can view the progress of your import from the Import People screen (+ > Import People
