Inbound

Date: The date on which you received the inbound message appears at the top of your message.

Contact: The contact information of the constituent appears below the date.

Message: The text contained in the gray space designates the original text received from the constituent.

Inbound Tags: Any issue tags assigned to the inbound message will appear below the message and you can edit, to add or subtract, issue codes as desired.

Internal Summary: This section provides you with a space for internal summarization or notes regarding the content of message.

Inbound Attachments: Any attachments to the message will appear at the bottom of this section.

Properties

Assignee: The staffer who is responsible for responding to the message.

Batch: The batch in which the correspondence is grouped – if blank, there is no batch assigned.

To: The name of the constituent receiving the message. You can also opt to CC or BCC additional individuals here if you are sending an email.

Form Letter: The form letter selected for the message will appear here, which you can edit as desired.

Subject: If you are sending an email reply to a constituent, you can edit the subject line of that message here.

Issues and Bills: Issue codes or bill tags assigned to the outbound reply can be found here.

Note: This is especially useful to use if you are tracking a distinction between the types of messages you are receiving and the responses you are sending out.

Response Type: The default response type for any message will correspond to the medium of the inbound you received, but you can also edit that selection here (if, for example, you wanted to switch from a letter to an email, etc.).

Activity

Add a Comment: You can add any comments or notes to your coworkers regarding this particular correspondence using the “Add a Comment” feature.

Comments: Any comments added by you or your coworkers will appear below the comment bubble in the “Comments” tab.

All Activity: The date, time, and staffer responsible for any status changes to a form letter is recorded under “All Activity.”
