Fireside State Icons

 

When searching for constituent records, Fireside delivers all the information you need - right at your fingertips! The Search function not only searches for people, but also includes icons that give you contextual information about the constituent at a glance.

Mailroom Icons

The Atom icon is an indicator that this piece of mail was processed via an Automations

The gold icon is an indicator that the constituent elected not to receive a response on the contact form 

 

Where Do the Icons Come From? 

The icons are generated from three places: User Fields, Affiliations, and Automatically Calculated Values.

User Fields:

  • Deceased

  • VIP

  • Do Not Mail

  • Person Of Interest (someone considered a threat)

  • Invalid Email*

*The Invalid Email icon is automatically added by Fireside after an email comes back as a hard bounce. You can correct or clear the bad email by editing the Contact Information on a person profile by updating the information with a new email.

 

Marking User Fields:

 

For Individuals: To mark any of the user fields for a constituent, search for the constituent and click on their name. Then click the edit button under Profile Summary in the right hand sidebar. Select “Yes” for any of the the listed Yes/No Fields and check anything with an available check box if you would like the icon. Hit Save and the icon will be added to the profile during a search.

 

For Groups: To mark a user field on multiple constituent profiles, export the Audience and then re-import it, marking each person as "Yes" in a new column named after the User Field.

 

Affiliations:

  • Frequent Writer

  • Elected Official

 

Marking Affiliations:

 

For Individuals:  To mark a constituent with an Affiliation icon, search for the person and click on their name. Next, click on the edit button next to affiliation on the right hand sidebar. Under the Affiliations section, search for "Frequent Writer" and "Elected Official." Click on the affiliation and click Save. Any “children” or “branches” below these Affiliations will also be marked with the icons. If those affiliations do not exist, you can create them with the exact name of "Frequent Writer" and "Elected Official".

For example, a “child” would be Elected Official > Mayor in the Affiliations tree.

 

For Groups: To add an Affiliation code on multiple constituent profiles, create an Audience, click on the action button to the right of the Audience name and choose "Modify People Matching Criteria" and then choose the Affiliation from the tree on the next screen.

 

Calculated Icons:

  • Open Casework Count

  • Mail in Last Year Count

  • Date of Last Mail  (appears when you hover over the other mail counts)

  • Open Mail Count

  • Out of District

These results are automatically calculated and show up in all Search locations.

 

Search Locations:

  • Search

  • Add

  • Inbox - Digital Mail People Search appears when it is not automatically matched to a people record

  • Casework - Add a Contact Search

Data Integrity:

Your office may previously have identified these constituents characteristics in different ways. For example, if your office is using a "Deceased" Affiliation code instead of the designated User Field, that won’t be reflected in the Search.
