Customizing a Message

After you assign a form letter to a message, customizing the content is as simple as clicking on the correspondence to open the mail record and beginning to type in the editor on the left.

Edit: The “Edit” tab is where edit the text of the form letter.

Print Preview: The “Print” tab allows you to get a preview of what the text will look like before it’s printed.

Send Test: The “Send Test” tab allows you to enter email addresses to get a preview of what your form letter will look like to a recipient.

Print Test: The “Print Test” tab allows you to print a copy of the form letter to preview it.

The name of the constituent to whom the letter is assigned will appear in the top-left corner and will be hyperlinked to their profile. Similarly, the form letter assigned to the message will be immediately to the right.
Message Status & Actions

An individual mail record has two statuses and three actions. Statuses control whether a response is able to be sent. Actions are the specific way in which you choose to send out a mail item and thereby mark the correspondence as closed. The default response type for a message is the same as the inbound correspondence from the constituent.

Statuses

Open: An open mail item is considered unfinished and can be sent out.

Closed: A closed mail item is one which is considered completed and cannot be sent out.

You can change a closed mail item to open again by clicking “Edit” in the top-right corner of the screen.

You can close a mail item without actually sending it by changing the status directly.

Actions

Send: By clicking “Send”, you email your response to the constituent and mark the mail item as closed.

Print: By clicking “Print,” you queue up your response to begin printing and mark the mail item as closed.

Completed by Phone: By clicking “Completed by Phone,” you are prompted with a comment box to record any comments from your conversation with the constituent and mark the mail item as closed.
