Email casework templates are used to create personalized staff response signatures, which ensure replies to casework emails are sent to the correct caseworker.
Most offices prefer to have two email casework templates for each caseworker: one on letterhead with the Member's signature, and one plain email that comes directly from the caseworker and may include the caseworker's signature block.
Here is an example of a Letterhead Casework Email Template:
Red box: This template calls for the email to appear to be from the Member (Rep. Joe Congressman) but routes all responses to caseworker Rachel Sherman's chamber email account (rachel.sherman@statechamber.gov).
This is very important when emailing official information to an agency or constituent. If they reply, the email automatically goes back to the appropriate caseworker's email account instead of ending up in the inbox for the casework staff to sort out.
Green box: Because this is a "Letterhead Template," the digital version of your office's official letterhead appears in the template.
This is critical for official communications with agencies that require casework inquiries to be on letterhead.
Blue box: This is where the image of the Member's signature appears in the template. Again, this is a requirement for many agency inquiries.
Here is an example of a Plain Casework Email Template:
Red box: This template sets the "from name" as the actual caseworker (Rachel Sherman) and also routes all responses to Rachel's chamber email account (rachel.sherman@statechamber.gov).
Blue box: The caseworker's signature block may be included in this template.
This is useful for caseworkers who want to send personal or informal communications to constituents featuring their own name and signature block, not the Member's.
