Casework Activity Inbox

The Activity Inbox is intended to display new emails that past recipients have sent using the original sender’s Fireside email address, along with Privacy Release Form (PRF) submissions through the House’s digital PRF system.

It's important to note, that this is the receiving inbox for constituent responses to outbound Fireside case emails. If the constituent hits new email instead of replying directly to the message sent from Fireside, it will not be include in the thread.  This is because the new email they create lacks the code needed to tie that message back to its original case.

The Activity Inbox is accessible within Fireside by going to My Cases and then clicking on the “Activity Inbox” tab. This will allow users to locate and find:

  • Received emails will appear in order with the most recent one on top.

  • Similar to mail previews in Mailroom and Batch pages, staffers are able to click on the dropdown carrot to the left of the Subject to expand the message to preview.

  • When a staffer hovers over the message, the snowman button will appear to the right that will produce a few options for that message when selected:

    • Add to a case - Add the email to an existing case so it appears under the Correspondence and History tabs. The user will be prompted with a Search bar to search for constituents with open cases.

    • Create a case - Create a new case for a constituent and add the message to the case.

    • Delete this item - Remove the email altogether from Fireside. There is no undo for this action.

    • Add to a case by database ID (only available to Fireside Admin) - Fireside staff can copy the Case ID that appears in the URL to insert the message directly into the case without using the people search function.

Forwarding emails into Fireside:

To forward an email from Outlook (or any email client) into Fireside, simply forward the email to the unique Fireside email address for a staffer with their state and district indicated (i.e., format of First.Last-SSDD@emanager.house.gov so Jane.Doe-FL34@emanager.house.gov or John.Smith2-AZ01@emanager.house.gov). The message will then appear in the Activity Inbox where it can be added to a case.
