'Ready to Send' Batch

One of the long-standing challenges LC's face is how to efficiently process constituent correspondence and turn around mail quickly. Fireside offers automation tools to help you match campaign mail with approved form letters, and now we're pairing that with a new powerful tool - the 'Ready to Send' virtual batch.

What is a "virtual" batch?

A virtual batch is simply a way to display helpful information pulled together from other batches, but no mail is ever actually assigned to it. Think of it as a 'display only' batch.

How does the 'Ready to Send' Batch work?

The 'Ready to Send' Batch will be pinned to the top of the Batches page and automatically show you all of the mail with an approved form letter. That means you'll only have to go to one place to find all the mail that's "ready to send," instead of having to go into each batch separately to Print/Send!

 

 

Will I have to change my automations or stop batching mail by issue/legislation?

Nope! Mail will continue to be batched according to your office's current organizational system and will "live" in the batch to which you would normally assign it. In fact, you can't assign mail directly to the 'Ready to Send' Batch. Simply assign an approved form letter to an outbound piece of mail, and it will appear automatically and simultaneously in the 'Ready to Send' Batch, giving you one, easy place from which you can Print/Send all of your approved correspondence.

Similarly, if you have batched mail attached to an unapproved form letter, once that form letter becomes approved, all of the associated mail will automatically appear in the 'Ready to Send' Batch.

How will I know where the mail is actually located?

When you click into the 'Ready to Send' Batch, you will see that it includes a special column showing you which batch actually contains the piece of mail you're viewing.

On the Batches page there is also a status bar that shows you how much of the mail within each batch has an approved form letter. The 'Ready to Send' Batch will always be fully green.
